Leads / Tasks Map

Overview

The user can find all the current leads/tasks on the Leads / Tasks Map. To access this submodule, navigate to LeadsLeads Map (TasksTasks Map).

Both maps use the same functionality, except for Filters.

It helps the estimators to see how far/near the leads/tasks are and which of the leads they should estimate based on the locations (shows clearly where each lead/task is situated, based on the address mentioned in the lead/task within the system).

The buttons in the upper left corner of the map can be used to change its view from a map to a satellite image.

When a user clicks the Map button and adds a tick next to Terrain, the system displays a physical map based on terrain information.

If the Satellite button is clicked, the user has the option to remove labels if needed, for clarity.

By clicking on the Loop icon, users can search for a specific lead\task by Name, Phone Number, and Email that is linked to it within the system.

All leads/tasks will be displayed as pins on the map.

To see more additional information about a particular lead/task on the map, click on it with the left mouse button and a pop-up window appears.

Please note that not all leads in all statuses are displayed on the lead map. Check this article (Statuses section) for details.

Lead

The number on a lead pin indicates how many days the lead exists  in the system.

The left side of the window contains:

  • Lead name;

  • Lead №;

  • Estimator;

  • Date of creation;

  • Address of the lead;

  • Services/Products/Bundles required.

The right side of the window contains:

  1. Lead type;
  2. Send an SMS;
  3. Preferred communication method (call, SMS, or email);
  4. Select an estimator;
  5. Option to create a new estimate;
  6. Lead status;
  7. Option to create a new task.

The SMS blue button allows sending the SMS directly to the client, using the corresponding template.
The button on the right allows the user to choose the method of communication with the client. It can be an Email, SMS, or Call option.

Changing the status of the lead by selecting the current status from the drop-down menu is available by the option shown on the screenshot below.

Task


The task pin's number indicates the scheduled date of the task.

Filter

A red button in the upper right corner provides access to the map filters. If clicked one more time, the side menu collapses.

These filters can be used to select the objects displayed on the map.

Show on Map

The user can choose to see Leads, Tasks, and/or GPS Tracking pins on the map.

When the toggle button is turned on next to Leads, leads will appear on the map.

When the toggle button is turned on next to Tasks, tasks will appear on the map.

GPS Tracking - whenever this toggle button is ON, and no user is selected under Assigned to, all users (who have within UserUser Management, setting Require GPS to track time Access set to Yes and GPS tracking toggle ON) will be shown on the map as a pin.

 

Lead Filters 

The user can filter the pins on the map based on:

1. Lead Priority;

2. Assignee;

The option allows users to filter information based on the assigned lead and to view separately those who are not assigned to anyone.


3. Services, Products and/or Bundles.

The option filtering the data by services, products, and bundles as well.

Task Filter

Users can sort leads based on the person Assigned to the tasks, Category, and Date for filtering.

  • Assigned to

Clicking the dropdown allows users to filter the tasks on the map according to the assignee. Several assignees can be selected if needed.

  • Category

Clicking the dropdown allows users to filter the tasks on the map according to the category. Several categories can be selected if needed.

  • Date

Clicking the date allows a user to select a specific date range, according to which they want to filter the tasks on the map. Several options are available: Today, Yesterday, Last 7 days, Last 30 Days, This Month, Last MonthCustom range.

Clicking the Clear button will remove this filter.

Example: How to select the dates from the date picker. The first and last days should be selected. Month and year can be selected from the drop-down lists at the top. Click Apply to confirm the chosen period or click Cancel to hide the date picker.

Tasks Expiration Date

Task expiration date is managed in the Company ManagementAppointment ManagementAppointment Task Expiration Date field. After setting the number of minutes, the tasks older than that don’t show on the map even when the set period in the Date filter includes them.

Multi-Pin Actions

With this feature, the user can:

  • Quickly assign an Estimator to multiple Leads;
  • Quickly create Tasks for multiple Leads and assign an Estimator to them.

To use this function, the user needs to press and hold the CTRL key (Command for macOS) and left-click on the required pins on the map (maximum 23). The selected pins will change their color. The Assign or Schedule button will appear in the bottom right corner. The number on this button indicates the number of selected pins.

Assign leads

On the Assign leads section, select Estimator and click on the Assign * leads button (the number will indicate the number of selected pins).

Schedule appointments (create Tasks)

To schedule appointment Tasks, the user needs to select the Schedule appointments section. The user needs to specify the Estimator for which Tasks will be created and the day and time range in which Tasks will be created.

After clicking the Schedule * Leads button (the number will indicate the number of selected pins), the selected Leads will have the assigned Estimator. All created Tasks will be displayed on the map, they will also be recorded in the Office Schedule. Tasks are created with an optimized path to follow.

Please note to click the Schedule * Leads button just once and wait until the pop-up window will close and the appropriate notification will be displayed on the screen.
