Create a New Task / Schedule Appointment on the Web

The Tasks feature helps to schedule and manage office staff's appointments and other office-related tasks.

Intuitive and easy to use, users can create tasks in just a few clicks or assign tasks to team members.

The feature offers a flexible scheduling interface, allowing users to easily view available time slots and book appointments based on their availability.

Create a task



There are several ways to create tasks on the web:

Client related tasks can be created individually on the client's profile. To create a task, click on the "Create New Task".



You can also create a new task when creating a new lead on the client's profile by clicking on the "Schedule Appointment" button.



If you want to add a task to an already created lead on the client's profile, click on the "Eye" icon next to the preferred lead and in the new window click on the "Schedule Appointment" button.




You can also create a task when adding a new client by clicking on the "Schedule Appointment" button in the bottom.

A task can also be created in the "Leads List" section of the "Leads" module. To create, click on the "Eye" icon next to the preferred lead.

In all these cases, after clicking on "Schedule Appointment" or "Create Task" buttons, “Schedule Appointment” window opens, helping to set an appointment with the client.

If you need to schedule appointment for another day, you can choose the date from the calendar.



The order in which the estimators appear for the day shows their availability and distance from the client. The first estimator from the list would be the best option to choose.

Once you click on the estimator's name you will be able to set the time for this meeting. The system only offers available time blocks.



To access the required estimator quickly, you can choose the estimator from the drop-down list.



Under the list of estimators, there are 4 selectors that you can use to notify the client and the estimator about this event.
From the “Task Type” drop-down menu you can choose the task that the estimator needs to do.



When creating a task from the lead viewer page (click on the “Eye” icon next to the lead) and when creating the task from the client’s page (click on the “Create New Task”) you can assign a lead to the task. To assign a lead, choose the lead from the drop-down menu. Note that only the leads with the status “New” can be assigned.



In the top right side you can see the list of tasks for the day/time period including estimator names, task start and end times, task address and client's name.
When you click on the task, you will be directed to the location on the map.



If you click on the client's name, you will be forwarded to the client's profile.

On the map task pins are also available showing information such as estimator's initials, appointment time and the task number in the estimator's calendar for that day.



If you click on the task pin, you'll access the task details where you can find more information.
When clicking on the client's name you will be forwarded to the client's profile.



Once everything is set, click on the “Save” button.

The tasks created on the client profile are available in the "Tasks" and " Tasks Map" sections of the "Tasks" module, on the "Leads Map" section of "Leads" module as well as in the "Office Schedule" section of the "Schedule" module.

All the tasks connected to a client are also available on the client's profile in the "All Client Tasks" section.

To send appointment reminder by SMS, click on the "Phone" icon.
To send appointment reminder by Email, click on the "Envelop" icon.
To view the task, edit the task status and note, click on the "Eye" icon.
To edit the task, click on the "Pencil" icon.
To delete the task, click on the "Bin" icon.
