Emails going to SPAM - (SMTP Setup Guide)

If you’ve noticed that some emails sent through ArboStar are ending up in your clients’ spam folders after recent Google updates, we recommend the following options to improve deliverability:

  1. If you already have your own domain (e.g., info@companyname.com) — the only option we can offer at the moment is using SMTP.
  2. If you are using a regular Gmail address (e.g., name@gmail.com) — the best long-term solution is to first set up your own domain and then connect it to ArboStar. This approach gives you better brand credibility, higher deliverability, and full feature compatibility.


To make sure your emails reach your clients without going to spam, we recommend setting up SMTP (Secure Mail Transfer Protocol).
This method ensures email authenticity and greatly improves deliverability.

Step 1 — Open SMTP Settings in Your System

  1. Log in to your account.

  2. Go to Company Management.

  3. Locate the Email Verification box.

  4. Click the gear icon ⚙ next to it.

  5. Select the SMTP tab.


Step 2 — Enable 2-Step Verification in Gmail

SMTP with Gmail requires two-factor sign-in (most accounts already have this enabled).
If you don’t have it yet:

  • Go to Gmail 2-Step Verification and follow the instructions.


Step 3 — Create an App Password in Gmail

  1. Go to Google App Passwords.

  2. Sign in to your Gmail account.

  3. Under Select App, choose Other (Custom name).

  4. Type SMTP Connection.

  5. Click Create.

  6. Google will give you a 16-character password — copy this and store it securely.


Step 4 — Enter SMTP Details in Your System

  1. In the SMTP settings, enter:

    • Email Address: your Gmail address

    • Name: your name or company name

    • Password: the App Password you just generated (NOT your Gmail password)

  2. Save changes.


Done!
Your outgoing emails will now be authenticated through Gmail’s servers, making it much less likely they’ll be flagged as spam.


Please note: When using SMTP, email reporting features in the system (such as open rates, click tracking, and delivery reports) will not be available.
Our development team is actively working on a solution that will allow us to keep full reporting while ensuring your emails continue to reach the inbox without being flagged as spam.
